Mismatched dates between the invitation and the application form

The entry and exit dates in your visa application must fall within the dates covered by your invitation letter. If your application says June 5–20 but your invitation covers June 8–18, the consulate will reject it immediately.

Your application dates must be the same as or narrower than your invitation dates. Never specify dates outside the invitation period. If your dates changed, contact us for a free correction before submitting.

Name spelling differs from the passport

Your full name in the invitation, visa application and passport must be identical — letter by letter. A missing middle name, a hyphen in the wrong place or a different transliteration of a non-Latin name is enough to trigger rejection.

Copy your name character by character from your passport bio page into both the invitation order form and the visa application. Do not abbreviate, do not add or remove hyphens.

Passport expiring too soon

Your passport must be valid for at least 6 months after the date your visa expires — not after your return date. If your visa is valid until October 15 and your passport expires in March of the following year, you are below the 6-month threshold and will be refused.

Wrong host company details in the application form

One of the most common errors: applicants write the name of their hotel or travel agency in the "inviting organisation" field — instead of the name of the tour operator who issued the invitation. These are different entities.

In the "inviting organisation" field enter: Visa Service LLC (or the exact name as printed on your invitation). The address and reference number must also come from the invitation — not from your hotel booking.

Passport photo does not meet requirements

Russian consulates have strict photo requirements. Common issues include: coloured background instead of white, old photo taken more than 6 months ago, glasses, hat, smiling expression, or photo not glued to the application form.

Use a photo that is 35×45mm, colour, white background, taken within 6 months, neutral expression, no glasses. Print it and physically glue it to the application form — do not staple.

Missing travel insurance or insufficient coverage

Travel insurance is mandatory for many nationalities (including French citizens and others) and strongly recommended for all. Insurance without Russia coverage, with a sum insured below €30,000, or that does not cover the full visa period will cause rejection.

Get travel insurance that explicitly covers the Russian Federation, with minimum coverage of €30,000 (ideally higher), valid from your entry date to your exit date. Keep the printed certificate with your application.

Invitation issued by an unaccredited operator

Not all invitation letter providers are legitimate. Russian law requires that tourist invitations be issued exclusively by tour operators registered in the Federal Tourism Register. An invitation from an unregistered company is invalid and will result in immediate rejection.

Previous overstay or immigration violations in Russia
